How to Create Custom Stages

Add, edit, reorder, and delete custom hiring stages at the job level to match your unique hiring process.

Create and manage custom hiring stages for individual jobs so your pipeline matches the way your team actually hires. Use job-level stages when one role needs a different workflow from your default hiring process.

Overview

Custom stages at the job level let you go beyond the four default stages — Invited, In Progress, Review, and Rejected — and shape the pipeline around your actual hiring flow. That is useful when a job needs extra screening, interview rounds, or internal approval steps.

Job-level custom stages apply only to the job you are editing. Global custom stages work as account-level defaults across jobs, while job-level custom stages act as per-job overrides when a specific role needs a different process. You need an existing job and the appropriate permissions to manage job settings before you can add or change custom stages.

Adding a Custom Stage

Open the job you want to customize

From your dashboard, open the job where you want to add custom stages.

Navigate to the stages settings

In the job editor, go to the Customisation tab and find the Stages section.

Click to add a new stage

Use the Add Stage button to create a new custom stage.

Enter the stage name

Give the stage a clear, descriptive name that reflects your hiring process, such as Shortlist, Phone Screen, or Technical Interview.

Save the new stage

Click Save to add the stage to your job's pipeline. After saving, the new stage appears in the job's stage list.

Editing a Custom Stage

Open the job and go to the stages settings

From your dashboard, open the job and navigate to the Customisation tab, then the Stages section.

Select the stage to edit

Click the custom stage you want to modify.

Update the stage name or details

Change the stage name or adjust any settings as needed.

Save your changes

Click Save to apply the updated stage name. The revised stage name now appears anywhere that job's pipeline is shown.

Reordering Custom Stages

Reorder custom stages to match the sequence candidates follow through your hiring process. The stage order affects how your team tracks progress from one step to the next.

Open the stages settings for the job

Navigate to the Customisation tab and find the Stages section.

Drag stages to reorder

Click and drag a stage to move it to a different position in the pipeline. The order of stages determines the flow candidates follow through your hiring process.

Save the new order

Click Save to lock in the updated stage sequence. After saving, the pipeline reflects the new order.

Deleting a Custom Stage

Open the stages settings for the job

Navigate to the Customisation tab and find the Stages section.

Find the stage you want to delete

Locate the custom stage you no longer need.

Delete the stage

Use the delete or remove option next to the stage name.

Confirm the deletion

Confirm that you want to remove the stage from the pipeline.

Deleting a custom stage removes it from the pipeline. Candidates currently in that stage will need to be moved to another stage manually after deletion.
